If you do not agree with ScanToSchool.com's policies and practices, do not register to participate in the Program, or use the Website, any related applications, or services. This Privacy Policy is incorporated by reference into and forms a part of ScanToSchool.com's Terms of Service. Please read this policy carefully to understand ScanToSchool.com's policies and practices regarding you and your child's information and how the information collected will be treated. By accessing or using the Website, you agree to this Privacy Policy. This policy may change from time to time. Your continued use of the Program after changes are made is deemed to be acceptance of those changes, therefore, you should check the policy periodically for updates.

Who Are We?

ScanToSchool.com, Inc., a California corporation ("ScanToSchool.com"). ScanToSchool.com's "Program" includes two components: (i) the data collected directly related to the student's activity, and (ii) ScanToSchool.com's proprietary online content, functionality and services offered on or via downloadable applications and the website (collectively referred to as the "Website").

ScanToSchool.com respects your privacy and the privacy of your children. ScanToSchool.com is committed to protecting the privacy of it's participants through compliance with state and federal privacy laws, including Family Educational Rights and Privacy Act ("FERPA"), Children's Online Privacy Protection Act ("COPPA"), California's Student Online Personal Information Protection Act ("SOPIPA"), and other related industry standards.

ScanToSchool.com is a service that encourages physical activity and gives program managers easy to use tools to verify their program's effectiveness. ScanToSchool.com use simple, inexpensive web and barcode technology to capture trips to school, laps around a track and compute the impact each trip or lap has on CO2, gas, dollars, and calories. ScanToSchool.com also capture mode share, temperature and conditions.

This policy describes the types of information ScanToSchool.com may collect from you (or your child) or that you may provide when you visit www.ScanToSchool.com and/or use various aspect of the Program and its practices for collecting, using, maintaining, protecting, and disclosing that information.


1. Where ScanToSchool.com Collects Information.

This policy applies to information ScanToSchool.com collects:
  • On the Website.
  • Through mobile and desktop applications, which provide dedicated non-browser-based interaction between you and the Website.
  • When you interact with our applications on third-party websites and services, if those applications include links to this policy.
  • Users information through the scanned barcode tags (see Section 5).
  • Users information imported from Program Administrator files.

2. When ScanToSchool.com Collects Information.

ScanToSchool.com collects this information:
  • Directly from you when you provide it to us (ie: the website, signed documents, barcode tags).
  • From school's Program Administrators and other school personnel authorized by your (or your child’s) school.

3. Information You Submit.

For children, including those under 13 years of age (except where noted), ScanToSchool.com may collect the following information through a user’s (or Program Administrator’s) submission of it:
  • User name
  • Teacher name
  • Grade level
  • Gender
  • Email address (except for children under 13)
  • Phone number (except for children under 13)
  • Parent’s e-mail address (optional)
  • Parent’s phone or text/SMS number (optional)
  • Round trip distance to and from school (however, ScanToSchool.com does not request or store home addresses)
  • Arrival at school in order to notify parents (optional service)
  • Means of transportation from home to school and school to home, e.g., bicycling or walking, on a given day and distance logged (on individual days and in the aggregate)
  • Number of laps or distance run or walked at school, and date and time of completion of the lap, in connection with school administered programs, and distance logged (on individual days and in the aggregate)

There are a number of ways you can provide this information to ScanToSchool.com, including:
  • By filling in forms on the Website. This information includes information provided at the time of registering to use the Website, subscribing to the Service, posting material or requesting further services.
  • ScanToSchool.com may also ask you for information when you enter a contest, competition or promotion, and when you report a problem with the Website.
  • Records and copies of your correspondence (including e-mail addresses), if you contact ScanToSchool.com.
  • Details of transactions you carry out through the Website.
  • Your search queries on the Website.
  • Scans of the provided barcode tags.

ScanToSchool.com does not condition a child's participation in the Program and online activity on the child providing more personal information than is reasonably necessary for that activity.

ScanToSchool.com does not collect educational records, except the name of you or your child's teacher and school to allow data to be collected and organized for educational purposes as the Program Administrator sees fit.


4. Parental Consent for Children Under the Age of 13

ScanToSchool.com requires consent from a parent or legal guardian when a child under 13 years of age wants to use or register with the Website. Parental consent is required from the child’s parent and can be provided to ScanToSchool.com by either of the following methods:

  • Electronic submission through the Website followed by a physical paper form signed by the parent and delivered to the authorized program administrator for the child’s school (the “Program Administrator”). Electronic submissions not confirmed by receipt of the follow-up signed physical paper form within 30 days of electronic submission will by automatically deleted; or
  • A physical paper form signed by the parent and delivered to a Program Administrator who will then input it to our database.

5. Barcode Tags

Children (including children under 13) may receive a barcode tag, which becomes affiliated with their user name, and may be used by personnel authorized by the school to track and correlate to information about that child. Lost barcode tags should be reported to ScanToSchool.com immediately at info@scantoschool.com. For security purposes of the child's information, the barcode tag itself will not access personal information. Personal information about the parent and the child can only be accessed by the Program Administrator with specific “user” access permissions.


6. Accessing the Website

ScanToSchool.com's Privacy Policy is incorporated into the Terms of Service by reference https://www.scantoschool.com/Terms. ScanToSchool.com cannot guarantee that all aspects of the Website will be up and running 24/7. ScanToSchool.com reserve the right to suspend or restrict access to specific features by user. ScanToSchool.com will not be liable in the event that all or part of the Website is unavailable at any time or for any period. ScanToSchool.com is not liable for any data loss. ScanToSchool.com does not represent that the content provided on the Website will be error free. Access to certain features of the website will be controlled through a unique URL sent by the program administer by email. This URL will contain a temporary unique 'key' that will enable access for up to 30 days.


7. Usage Details, IP Addresses, Cookies and Other Technologies

As you interact with the Website, ScanToSchool.com may automatically collect certain information about your equipment, browsing actions and patterns, including:

  • Details of your visits to the Website, including traffic data, location data, logs and other communication data, pages requested and the resources that you access and use on the Website.
  • Information about your computer and Internet connection, including your IP address, operating system, browser type and information regarding the Internet service provider.

The information ScanToSchool.com collects automatically is statistical data, and does not identify any individual. It helps ScanToSchool.com to improve the Website and to deliver a better and more personalized service by enabling ScanToSchool.com to:

  • Estimate the audience size and usage patterns.
  • Store information about your preferences, allowing ScanToSchool.com to customize the Website according to your individual interests.
  • Speed up your searches.
  • Recognize you when you return to the Website.

The technologies we use for this automatic data collection may include:

  • Cookies (or browser cookies). A cookie is a small file placed on the hard drive of your computer. You may refuse to accept browser cookies by activating the appropriate setting on your browser. However, if you select this setting you may be unable to access certain parts of the Website. ScanToSchool.com does not collect personal information automatically, but may tie this information to personal information about you that has been collected from other sources or you provide to ScanToSchool.com.

8. How ScanToSchool.com Uses Your Information

ScanToSchool.com uses information that is collected about you or that you provide to ScanToSchool.com, including any personal information:

  • To present the Website and its contents to you.
  • To provide you with information, products or services that you request from ScanToSchool.com.
  • To fulfill any other purpose for which you provide it.
  • To provide you with notices about your account, including expiration and renewal notices.
  • To notify users of contest results or contest updates.
  • To provide Program Administrators with the option to post summaries of this information on the password protected content management backend for their school’s “mini-site.”
  • Each school’s mini-site will show to the public only a summary of the school’s total aggregate miles/distance and ScanToSchool.com's estimates of monetary and environmental savings, calories burned and virtual incentives (“statistics”). Individual user/student statistics and teacher/classroom statistics will be viewable ONLY to those students, teachers, program administrators and parents who obtain that school’s unique password created by the school’s Program Administrator. Such summaries may contain student usernames (which should not contain the student’s real first name or last name), grades, teacher names (classrooms), and aggregate statistics for each student user and each teacher (classroom); however, these summaries will not display the users’ e-mail addresses, text/SMS numbers or phone numbers.
  • To notify parents by e-mail, text/SMS or phone that their child has arrived at school, if this option is chosen by the parent.
  • To notify users, 13 years of age or older, of their cumulative distance traveled (and associated statistics) via email and/or text/SMS.
  • To notify you about changes to the Website or any products or services ScanToSchool.com offers.
  • To allow you to participate in interactive features on the Website.
  • To ensure users are following the Website’s Terms of Use.
  • To ban a user temporarily or permanently from the Website if that user engages in inappropriate conduct on the Website.
  • To enable review of your (or your child’s) personal information that has been submitted to the Website and to provide notification regarding the Website, such as any future amendments to this Privacy Policy.
  • In any other way ScanToSchool.com may describe at the time that you provide the information to ScanToSchool.com.
  • For any other purpose with your consent.
  • For Program Administrators to notify parents or users over 13 years of age by e-mail, text/SMS or phone about program updates/changes, contests or system problems.

9. Student Marketing and Advertising Restrictions.

ScanToSchool.com does not use you or your child's personally identifiable information in any marketing activities without prior approval from both the school's Program Administrator and the parent of the child (ie: student recognition programs or fundraising programs). ScanToSchool.com does not use the data collected from use of the Website or the Program to target ads.


10. Disclosure of Personally Identifiable Information

ScanToSchool.com may disclose personal information that is collected or you provide as described in this Privacy Policy:

  • To the school’s Program Administrators for your (or your child’s) school.
  • To service providers we use to support our business. These service providers are bound by the terms of this Privacy Policy, and further contractual obligations to keep personal information secure and confidential and use it only for the purposes for which ScanToSchool.com disclose it to them.
  • To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all of the ScanToSchool.com's assets, whether as a going concern or as part of bankruptcy, liquidation or similar proceeding, in which personal information held by ScanToSchool.com about the Website users is among the assets transferred.
  • To fulfill the purpose for which you (or your parent) provide it.
  • For any other purpose disclosed by ScanToSchool.com when you provide the information.
  • With your consent (or with parental consent for children under 13).
  • To enforce or apply ScanToSchool.com's Terms of Use, Terms of Sale and other agreements.
  • To comply with any court order, law or legal process, including to respond to any government or regulatory request.
  • To the extent required by applicable law, in response to a law enforcement agency's or other government agency's (including schools or children services) request or if ScanToSchool.com's feels that such disclosure may prevent the instigation of a crime, facilitate an investigation related to public safety or protect the safety of a child using the Website, protect the security or integrity of the Website, or enable ScanToSchool.com to take precautions against liability.

Parents of children under the age of 13 may refuse to allow ScanToSchool.com to provide their child’s personal information to third parties; provided, however, it may not be possible for ScanToSchool.com to provide the services to you or your child if ScanToSchool.com cannot provide information to the contracted service providers, such as the hosting company. To inform ScanToSchool.com that you do not want ScanToSchool.com to share your child’s information with third parties, please email info@scantoschool.com.


11. Disclosure of Non-Personally Identifiable Information.

ScanToSchool.com may disclose information that does not personally identify any individual without restriction.


12. Access to Information; Correction, Redaction, or Deletion of Information; Objection to Information Collection and Retention; Other Choices.

ScanToSchool.com allows you to access, inspect, review, and correct the information and data collected online from you or your child. If you would like to access the personal information that ScanToSchool.com has collected online from you or your child, correct factual errors in such information, request to have this information redacted or deleted, or request that we no longer collect or maintain such information, please contact ScanToSchool.com as provided in the Contact Information section below. Please be aware that redaction of data may not be available without complete deletion and the deletion of data may lead to the termination of your ScanToSchool.com account, membership and/or service. Please be sure to include your e-mail address and a telephone number where an ScanToSchool.com representative can reach you.


13. SOPIPA Compliance Overview.

In compliance with SOPIPA, ScanToSchool.com does not use the information to develop student profiles for any student for non-K-12 school purposes, or sell collected information to third-parties (except as part of a merger or business sale). Further, ScanToSchool.com does not knowingly engage in targeted advertising to students or their parents or legal guardians and actively takes steps to prevent these actions.

Further, ScanToSchool.com implements and maintains reasonable security procedures and practices to protect the collected information from unauthorized access, destruction, use, modification or disclosure, and has a process in place to request deletion of student's information. At the request of the participating school or school district, all student information, including your or your student's information, will be deleted.


14. Mobile Contact Information

We do not share mobile contact information with third parties or affiliates for marketing or promotional purposes. Information may be shared with subcontractors in support services, such as customer service. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.


15. Data Security

ScanToSchool.com have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration and disclosure. All information you provide to us is stored on secure servers behind firewalls.

Any barcode scanning or data input by the Program Administrator will be done through an encrypted SSL connection. Users passwords are also encrypted in the database.

The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of the Website, you are responsible for keeping this password confidential. ScanToSchool.com asks that you not to share your account or password with anyone. ScanToSchool.com asks that you please notify ScanToSchool.com of any potential breach of security that may relate to your account or the password provided to you by the Program Administrator.

Unfortunately, the transmission of information via the Internet is never completely secure, and all such transmission is at your risk. Although ScanToSchool.com does its best to protect your personal information, ScanToSchool.com cannot guarantee the security of your personal information transmitted to the Website. ScanToSchool.com is not responsible for circumvention of any privacy settings or security measures contained on the Website. The Website may contain links to other sites and ScanToSchool.com is not responsible for the privacy policies and/or practices on other websites. Please check the privacy policy of the third-party site immediately upon accessing the site.


16. Changes to ScanToSchool.com's Privacy Policy

ScanToSchool.com may amend this Privacy Policy from time to time. It is ScanToSchool.com's policy to post any changes made to the Privacy Policy on this page with a notice that the Privacy Policy has been updated on the Website home page. If ScanToSchool.com makes material changes to how users' personal information will be treated, ScanToSchool.com will notify you by e-mail to the e-mail address specified in your account. You are responsible for ensuring your account is up-to-date with an active and deliverable e-mail address that contacts you directly, and for periodically visiting the Website and this Privacy Policy to check for any changes.
